Ff&E Procurement & Purchasing Manager Lisboa Lisboa, Lisboa, Portugal col-wideJob Description:We are looking for an experienced FF&E and OS&E Procurement Manager to join tour newly formed Design team within the Real Estate Development business focusing on Boutique Hospitality Assets. In this role, you will be responsible for all ordering, administration and supply procurement of the FF&E design and supply within the team. It will be your responsibility to ensure that the orders are made on time, within budget and in the most efficient manner, ensuring that the Finance Department is kept informed of all necessary compliance. Keep track of Main Contractor's Construction programme and liaise with them in regards to direct sourcing items. You will be working closely with Interior Designers and project managers to maintain FF&E budgets, project procurement, supply chain, logistics and project installations. Responsibilities:Collaborate with Team Lead, Project Manager and Senior FF&E/Interior Designer to ascertain the timeline, budget and deadlines of the projectAssist the FF&E/Interior Designer with sourcing all the information necessary to complete the detailed specification documentWork with the design team to build the initial procurement schedule based on the review of layouts, renderings & specifications of the projectResponsible for the compilation of the procurement budget and coordinating all documentation ensuring all document standards are metOrganise the purchasing schedule, liaising with the Project manager to ensure all project milestones are reachedWorking closely with the Finance team to raise all Funding Requests, produce purchase orders and pay proforma invoices in timely mannerReceive, approve and pass invoices for payment and log on procurement scheduleLiaise with suppliers across the globe to obtain quotes and discuss terms of serviceTo work within set budgets and timeframes, ensuring items meet the required specification and can be delivered on timeLiaise with internal teams and contractors to organise FF&E logistics and installationQuality controlKeep track of and approved invoices from suppliers, liaising with the relevant internal departments for reconciliation of projectsAdministrate and track all orders in the purchase process providing timely updates to FF&E Designer and Team LeadEnsure all supplier contacts are up to dateWork closely with the FF&E Librarian to organise supplier meetings so the team is consistently up to date with the current trendsCarry out existing supplier reviews & new supplier visits in order to provide a list of approved suppliers to consideration on projectsResearch the relevant markets to identify alternative suppliers for consideration by the interior designers and operatorsAssist in the VE process by making recommendations for alternate fixtures and furniture where needed to achieve project budgets and timelinesMaintain accurate procurement & budget records & collate information for a weekly procurement reviewCoordinate with the receiver/warehouse to verify product was received and inspected and found to be in perfect condition to install. RequirementsBachelor's degree in Business, Supply Chain Management, or a related field (Master's degree preferred). A minimum of 8-10 years of experience in procurement and strategic sourcing, with at least 3-5 years of OS&E/FF&E, rooms and services category experience. Proven experience in stakeholder management and developing strategies specifically designed for OS&E/FF&E, rooms and services categories. Exceptional negotiation, communication, and interpersonal skills with ability to influence without authority. In-depth knowledge of procurement best practices, supplier relationship management, and contract negotiation within these segments. Robust understanding of supplier markets across Brazil, DR and Latin America. Proficiency in procurement software and tools, with the ability to incorporate technology into source to contract process. QS background is a plusStrong organisation and administrative skillsAttention to detailStrong IT skills especially MS Office, Estimac PC or smilar, Google sheets etcGood knowledge of furniture design, manufacture, and materialsStrong communication skills, both written and verbalGood team player with interpersonal skillsAbility to form good professional working relationships with suppliers and shipyardsFlexible attitude and happy to help when neededBenefitsSalary and benefits are competitive and based on candidate experience.#J-18808-Ljbffr
